Southron Gaard Baronial Council Meeting - 11 Feb 2003 Meeting opened 7:30 Present - Vitale, Heloise, Sinech, Rosa, Angus, Elizabetta, Duncan, Stephen, Madelaine Late - Callum, Chrettienne, Sigurd, Eleanora, Michael, BJ, Emrys Apologies - William, Richard, Ilar, Geoffrey & Arabella (late) Minutes - OK. Officer Reports Seneschal Still chasing up labels. Signatories for accounts sorted and stuff to Madelaine. NMS may only be long enough to replenish reserves. NMS in NZ is currently $6NZ. NMS legality etc - Legal advice is that SCA is not engaging in trade in NZ as we are a not for profit org, as testified by our tax status. Will most likely have to pay Non Resident Withholding Tax of 10% on any remitted funds, it is possible to have this waived by the IRD if enough paperwork is filled out. Dracehnwald has a NMS exemption due to such things as the high relative cost of the NMS in such places as Estonia, lack of non members and the high cost of currency transfers. Only applies at 4 big crown events - I will look and see if we can get something similar or better. Reading Drachewald Incorp list. NMS subsidy for newbies (first 2 events at 50%). Inc list set up not much happening yet. Followed up kingdom lists officer casing up Geoffrey. B&B Much prep for page school at CF - was very successful. Gave some awards, Business via Catalina. Received book review and Floia Roani. Sent January FTT. Seneschal received a possible NZ wide newsletter to discuss (forgot to bring). Discuss more when see it. Would newsletter be private or adopted by editor's group? (as there is no NZ wide group currently to sponsor it). Consider instead 'packs' of information collated at a central source and sent out to each groups chronicler, as a baby step to test the concept, Perhaps start as small 4 sided insert for each group's newsletter of a 'national' focus event announcements etc. Electronic distribution is now an option too. PDFs can be easily printed to hard copy. Consider the needs of each group and work with them. Important to figure out the needs and then provide the solution, not the other way around. Printing costs for FTT are currently 90c printing 40c postage. $1.30 per issue, hence current cost overrun. Need to increase subs to $16 per year as from April - publish cost breakdown to explain costs. Events Canterbury Faire Richard away. Site had some forms in wrong place and wax on floor. Richard to fix. Site owners happy with us. Owners happy with wine trail horses - some communication mixup lead us to believe there may have been a problem, but this was not the case. 4 people still have outstanding fees and some milk money.
