Southron Gaard Council Meeting - Tuesday 10th April PRESENT: Peregrine (Roland), Emayn (Karen), Katherine (Vicki), Bartholomew (Peter), Iulianna (Jenny), Dauid (David), Martuccio (Matt), Roheisa (Belle), Emilio (Ed), Vitale (Peter), Mathilda (Charlene), Raife (Shaun), Llewellyn (David) APOLOGIES: Therese, Rose, Kotek MEETING OPENED: 7:30pm LAST MEETINGS MINUTES : Accepted OFFICER REPORTS: SENESCHAL: - Ran the Baronial populace survey. This is now finished. Thanks to everyone who contributed. - Attended the Canton meeting at Tarras. Spoke to all of the new canton people about the SCA. - Organising the term deposit - Correspondance with Fridda of the Otago Canton about Canton dealings - Eydis about College dealings - B&B about BA, renaissance challenge, deputy positions. CHATELAINE: Responded to several emails from newcomers - attempted to organise newcomer's evening but could not co-ordinate newcomers to pick an actual time/date. I will consider this a work in progress. Directed people to Hera for garb. Several newcomers at BA which was nice. Some concerns about very obvious mundanity of some visitors. Approached people and attempted to give them a Welcome to the SCA flyer and was rebuffed with "we have been going to fighters practise for several weeks" and I did not say "then why the heck are you dressed like it is 2003?". Points to chatelaine for not biting? Issue seems to be that people are joining for the fighting and having no contact with chatelaine and therefore no idea of inappropriateness. Can fighters please remind any newbie fighters what is expected at events so we don't have any spactacular repeats. Went through hire garb with Hera. Smell test applied and anything that was embarassingly and permanently stinky was found to have irreperable flaws. Need for some non stink attracting (linen?) shirts is apparent. Hera is currently without a reliable computer. Is it possible for webmaster to rejig the garb@sg... email address so mail goes to me? REEVE: Reeve's Report Non-Profit $5,372.27 FTT account $44.25 Clearing Account $7,582.61 A much better month. As you can see we have had a massive increase in fund, mainly thanks to Coronation. We have had incomings of 458.94 and outgoings of 908.87. I have had a request from SCANZ inc. to have my yearly report done by the end of the month so I will be tabling my report to SCANZ next council meeting. HERALD: No report. MARSHAL: - Had 2 new authorizations. Maximus and Raife - Liaised with NZ lists officer about funding status for NZ cards. - Ran SG heavy championship tourney. 8 entrants. Much better than 4 last year! Crowd seemed to like the format. - Worked with Max on running lists for tourney. Went well. CAPTAIN OF ARCHERS: (1) Weekly practices have been progressing as usual with an average of 4-6 archers at practice. (2) We had an IKAC shoot this month, and scores are shortly to be submitted to the IKAC keeper and the kingdom deputy marshal for archery. (3) Organized and marshalled the archery & crossbow champion's competition for BA. (4) We've made some progress in getting the Baronial loaner gear up to scratch, though one suspects this will have to be an ongoing effort. Am going to start encouraging people further to get their own equipment together. To that end am planning a series of Stuff night workshops on fletching, making armguards, quivers, etc. CAPTAIN OF RAPIER: Small demo / tourney at BA had no problems, still doing Sunday training at Barrington park look to the rapier list if canned due to bad weather. Plan to make up a free company of rapier fighters more on this later. A&S: - Organised the BA A&S competition - very good turnout of entries this year. - Discussed running an embroidery class for the May stuff night - more details to follow. CHRONICLER: Apologies, FTT done. WEBWRIGHT: - Alistair Mackay has been appointed as Canton Webwright, deputy to SG Webwright. (Eydis, the St Kessog Seneschal, is currently the St Kessog Webwright). - Added CF history to Baronial history page. - Added Renaissance Challenge page, http://sg.sca.org.nz/projects/renaissance.htm -- Ronan mac Brian provided the artwork. - Have asked Chronicler to advertise SG Webwright position. CHIRURGEON: Apologies. CONSTABLE: B.A. only had occasional intrusion from non members but seemed to police itself well enough. Heard no other complaints. Lost property all appears to have claimants. Now all they have to do is come and get it. QUARTERMASTER: - Full stock take done of all provisions. Some pieces missing or presumed broken (the odd bowl). - I have not updated the list yet (not sure how to) but will do so and wondered if it's worth having a photo of each piece next to its description so everyone can see what's there when preparing for an event. - First large box of food stuffs given to James and Sam and 2 more boxes ready for Peerless kitchen. - Also came across some costume garb - to be returned to Hera. - Building a set of cupboards to house all the items on shelves which can then be packed into existing plastic (or soon to be made nice wooden) bins. B&B: - Attended BA, the Canton's St Patrick's event at Tarras, Stuff Night, singing, seamsters, fighter's practice, Early Music Evening. - Launched Renaissance Challenge at BA. - Billeted St Kessog people for BA and had an informal gathering for them and Friddr the day following. - Discussions held at Tarras with Friddr and Jonathan (Canton acting Reeve). - Made many inquiries about some bound volumes of 1990s FTTs which couldn't be located. After Emma put out a public call, Richard returned them at BA and they are now back in the library. CAs ordered last year are confirmed as being in the library also. Correspondence with: * Seneschal and others re: deputy positions * Seneschal re: term deposit, trailer and frozen College funds * Seneschal and A&S about Renaissance Challenge * Baron Fulk (Cluain) re: existing armour order * Marshal re: possible additional loaner armour * Herald re: BA Courts * Canton and College Seneschals re: event planning * SCANZ prez re: steel-at-SCA events recommendations Baronial fealty rings have been supplied to HE Hrothgar of Rowany; will be sorting out when these are to be presented. EVENT REPORTS: CORONATION: - Booking rate has slowed a lot, as expected; is now past break-even at just over 130 all up (120 feast). Still expecting 150-200 in total. - Everything seems on track; some key timing/ceremonial issues won't get sorted out until after the Royal Successors are chosen at May Crown. - Full formal quote for fireworks received and is $1505.07 (budget was $1500). BA: - Still waiting for final site/hall costs. - Donations of about ~$75 received. MAY MUSTER - EVENT BID: Event bid for May muster put in by Iuliana. - St James church hall, 19th May, 10am - 5pm. - Morning tourney, soup + potluck lunch, afternoon dancing, boffer etc. - Hall hire = $50 - 2 x soup & bread for 40sih people = $95 - Would charge $5 + $2 non member fee. - Hall for dancing, wet weather etc. Maybe A&S display for Renaissance challenge. Discussion: Maybe no soup or bread, just potluck. Then would just need gold coin donation for site and would prevent paperwork sign in sheets being required etc. All in favour of this bid. YULE - EVENT BID Event bid paperwork for Yule event put in by Thorald and Anabilia. - St Peter's Church Hall and grounds (Church Corner) - Full event paperwork submitted. Includes heavy tourney, archery tourney, A&S display and full feast. - Date 16th June. - Adults $17, children $8. - Slight discrepancy noticed in budget resulting in a small deficit. However this is based on figures of 30 people attending and we expect a lot more. All in favour of this bid. MONTHLY MINI BALLS Bid proposed by Nataliya the Kievan - Every 1st Tuesday of the month, garbed mini-balls with possible potluck finger food. Dancers and music group combined. Including some teaching. - Suggestion of gold coin donation to help cover hall costs. All in favour. GENERAL BUSINESS: OFFICER DEPUTY SELECTION: Much discussion in the month between Seneschal and B&B over deputy selection. Briefly raised at Council. The policy on this has now been formalised and is in the policy handbook found on the SG website. In summary: "If you report to somebody, then they select you." CF T-SHIRTS Order placed with Global Culture, waiting on final quotes for the artwork. FIRST AID KIT Kotek still sourcing suitable replacement first aid kit. BARONIAL INTRO CARDS: Need a new batch. Last time 1000 cards cost $130. All in favour of getting another batch. COMPLETE ANACHRONIST: 2 copies of Autocratting 101 edition of Complete Anachronist, and Known World Hanbook to go to Canton and College. Approximate total of $75. Vicki to investigate and report to Financial committee. BA 2008: Suggestion raised that Baronial Anniversary 2008 should be a 2 day event. Will depend on steward. STEEL ACTIVITES Some concerns about steel weapon activities on SCA sites. Seneschal very adamant that steel activities not allowed on SCA sites as it is against corpora. Will consider 'Steel Embassy' for next year's Canterbury Faire. Seneschal and steward to prevent it from happening again. TERM DEPOSIT: Had to sign all the account forms again and get ID'ed. Forms now sent to Thorald in Ashburton to take in to Bank. SEPTEMBER A&S COMPETITION: Possibility of A&S competition in September. Three categories: 1) competition for people who have never entered an A&S comp before. 2) Children's competition. 3) Open to all. Possible donation of prizes for winners. LOANER ARMOUR: Possibility of buying some cheap armour for loaner armour in 3 boxed sets. Maybe fighter's auction at CF for loaner armour? Possibility of Barony buying stock of cheap armour for quick resell onto interested people? Maybe applications for funding? Raife to ask Anne-Marie who has done lots of funding applications. MEETING CLOSED 9:05PM.
